The Company Secretarial Administrator will support the company's administrative functions related to its compliance with the JSE Listings Requirements, in terms of its listing on the JSE Limited. The role focuses on organizing, maintaining, and tracking necessary documents, coordinating with internal teams, and ensuring that all administrative tasks tied to the ongoing continuing obligations in respect of the JSE listing s are carried out efficiently and in a timely manner. What You Will Be Doing Document Organization and Management: Assist in organizing and maintaining internal filing systems for all listing-related documents, stock exchange communications (including filings and announcements), meeting notices, shareholder reports. Administrative Support to Legal and Compliance Teams: Provide administrative assistance to the Company Secretary and the Sponsor, ensuring they have access to the necessary documents, records, and communications to prepare legal filings and reports. This may include gathering data and assisting with document distribution. Tracking Listings Requirements: Help track key deadlines, filings, and compliance tasks related to the public company. Maintain a checklist or calendar of required submissions, ensuring timely actions and effective coordination. Data Entry and Record Keeping: Ensure accurate data entry and record-keeping for corporate actions, shareholder information, and regulatory submissions. Investors and Stakeholders Support: Assist in preparing administrative materials for board and shareholders’ meetings, including corporate governance updates, communications, and presentation slides. Assist with Public Disclosures: Support the preparation and submission of public disclosures through the Sponsor including press releases and regulatory filings, by organizing the necessary paperwork, tracking timelines, and liaising with external parties. Ad-hoc Administrative Tasks: Provide general administrative support as needed, including document preparation and answering internal inquiries related to the listing process. What You Will Bring Advanced diploma/degree in business administration or a related field (or equivalent work experience). Proven 3+ years’ experience in administration, operations, or business support in a corporate or regulated environment is preferred. Experience in supporting legal or compliance teams is an advantage. Knowledge of the JSE Listings Requirements would also be a benefit. Prior exposure to workflow management, reporting, or process improvement is advantageous. Working knowledge of SARS eFiling and CIPC portals strongly preferred. Fluent in Afrikaans and English (spoken and written). Strong organizational skills with the ability to manage multiple tasks and deadlines. Detail-oriented and precise in handling paperwork and administrative documents. Proficient in Microsoft Office Suite (Excel, Word, PowerPoint). Strong written and verbal communication skills. Comfortable with digital tools and document management systems. Basic understanding of corporate governance, stock exchange rules, and regulatory filings is helpful but not required.
