The company is seeking an Executive Assistant / Virtual Assistant Superstar who is proactive, organized, and thrives on ensuring smooth day-to-day operations. This individual will serve as the right hand to the directors—managing schedules, coordinating client communications, and supporting administrative and operational activities. The ideal candidate is someone who can anticipate needs, multitask effectively, and communicate with confidence and professionalism.
Prepare and manage daily rosters and schedules to ensure seamless operations Book and coordinate meetings, ensuring efficient calendar management Liaise with clients via email and phone, maintaining clear and professional communication Prepare and send invoices and assist with basic administrative finance tasks Answer and return calls from reception and clients promptly Provide confidential administrative support to directors and senior leaders as required Follow up with customers and clients, ensuring timely and attentive service
Minimum 3 years of experience as an Executive Assistant, Virtual Assistant, or in a similar administrative support role Demonstrated experience supporting C-level or senior executives in a fast-paced environment Proven ability in calendar management, scheduling, and client communication Strong time management skills and the ability to manage multiple priorities simultaneously Tech-savvy — proficient in Google Workspace (Docs, Sheets, Calendar), CRMs, and communication tools such as Zoom, Slack, or MS Teams Exceptional attention to detail and accuracy in administrative and financial tasks, including invoicing Professional, reliable, and proactive — capable of working independently with minimal supervision Maintains confidentiality and discretion in all professional interactions
Exceptional communicator: articulate, polished, and personable in both written and verbal interactions Strong initiative and the ability to anticipate needs and act independently Highly organized and detail-oriented, ensuring accuracy and efficiency in every task Adaptable and resourceful, maintaining composure under pressure and solving problems quickly People-oriented with a friendly, service-driven approach to internal and external stakeholders Trustworthy and discreet, especially when managing sensitive or executive-level information Positive and professional demeanor, representing the company with integrity in all interactions
Experience in client servicing and coordination Ability to act as a point of contact for directors or senior management Excellent verbal and written English communication skills
