Job Overview We are seeking a highly organized and proactive Executive Coordinator to provide direct support to the company’s management team. This role combines administrative, financial, and operational coordination and plays a key role in ensuring smooth daily operations across departments and clients. The ideal candidate is detail-oriented, structured, and business-minded, with strong communication skills and the ability to manage multiple priorities in a fast-paced, multicultural environment. This is a long-term, strategic position offering exposure to international operations and senior leadership. Tasks Executive Support & Coordination Manage the manager’s calendar, appointments, and meetings; ensure timely preparation and follow-up. Track and report progress on ongoing tasks and projects using structured tools and summaries. Coordinate communication between internal teams, ensuring clear, concise, and actionable information flow. Financial & Administrative Oversight Prepare and issue client invoices; monitor payments and follow up on outstanding balances. Maintain expense records, budget tracking sheets, and financial dashboards. Support financial planning, reporting, and internal audit preparation. Handle administrative tasks such as document organization, contract filing, and correspondence. Operational & Client Interface Communicate professionally with clients, service providers, and partners. Support cross-department coordination (sales, projects, finance) and assist with commercial documentation. Organize travel arrangements, including flights, hotels, and itineraries for management and team members. Continuous Improvement & Ownership Anticipate needs, propose workflow improvements, and take ownership of assigned tasks. Ensure accuracy and consistency in all deliverables — written, financial, or operational. Demonstrate openness to feedback and apply it constructively to improve performance. Requirements Required Qualifications Bachelor’s degree in Administration, Finance, Management, or a related field. 2–5 years of professional experience in coordination, administrative, or operational roles. Excellent communication and interpersonal skills. Strong organizational skills, attention to detail, and accountability. Proficiency in Microsoft Office (Excel, Word, PowerPoint) and cloud-based collaboration tools. Based in Lebanon, with a reliable remote work setup and flexibility across time zones.
