About the role The Salvage Administrator at Reserv may serve as a shared service resource supporting multiple business units across the organization. This role provides centralized oversight of salvage processing with our vendor partners, Copart and IAA, ensuring vehicles move efficiently from pickup through sale, while maintaining compliance with title and salvage requirements. The Salvage Administrator reduces salvage cycle time, improves vendor coordination, and creates consistency in handling across all lines of business. What we need

    We need you to do all the things typical to the role:

    Salvage Monitoring & Vendor Coordination

    • Monitor vehicle movement with Copart and IAA once assignments are made by claim teams.
    • Resolve pickup or yard delays directly with salvage vendors.
    • Serve as the primary point of contact with Copart and IAA for salvage and title-related issues.
    • Title & Document Management (TE & Exceptions)
    • Track title status through Copart Title Express (TE) and IAA Title Procurement (TP) systems, ensuring documents are secured and processed timely.
    • Work stalled title cases (missing signatures, lienholder delays, incomplete documentation).

    Manage titles received in the corporate mailbox, including:

    • Owner retain vehicles – process reassignments back to owners with salvage branding.
    • Unrecovered thefts – hold until resolved, then process appropriately.
    • Provide consistent handling across both Copart and IAA salvage processes.
    • Claim File Oversight
    • Document salvage and title status in claim files across all supported business units.
    • Escalate salvage or title delays to the appropriate claims team when needed.
    • Auction & Proceeds Tracking
    • Monitor auction readiness and sale results in Copart and IAA systems.
    • Confirm sale proceeds are applied correctly to claim files.
    • Partner with accounting to resolve any payment discrepancies.

    Receive, review, and address all deficit invoices (when auction proceeds do not cover vendor fees). Review all deficit invoices, ensure accuracy, and either process for payment or escalate for further review based on company guidelines. Customer & Vendor Support Provide insureds/claimants with salvage yard contact information for personal property retrieval. Assist insureds with TE/IAA title document requirements. Coordinate EDR/EDM inspections with Copart and IAA to ensure modules are preserved and inspections are scheduled before vehicle sale. Escalate exceptions (yard issues, title delays, inspection conflicts) to Copart/IAA account reps for resolution.

    Reporting & Compliance Maintain a centralized Title & Salvage Tracking Log for all titles received at the corporate mailbox. Generate salvage reports by business unit (pending titles, unsold units, sales results). Ensure compliance with state salvage title requirements and internal company standards.

    Requirements Prior experience in auto claims, total loss, or salvage/title processing preferred. Prior experience in handling freight-liner and trailer claims. Strong organizational and follow-up skills with attention to detail. Ability to work across multiple business units in a shared service model. Effective written and verbal communication skills for vendor and customer interactions. Proficiency with claims systems, Google Workspace tools (Docs, Sheets, Gmail), and Looker reports. Familiarity with salvage vendor platforms (Copart TE, IAA) preferred.
